Unmatched crypto transfers: a practical evidence checklist
A send on one account and a receive on another can be the same movement. The evidence has to prove that link before anyone decides how the row should be treated.

Why transfers become unmatched
Different platforms use different timestamps, asset labels, fee conventions, and transaction identifiers. A withdrawal may appear hours before the deposit, a network fee may reduce the received amount, or a CSV may omit the destination label entirely.
An unmatched row is therefore a request for evidence. It is not proof of a sale, a loss, income, or any other filing position.
Compare these fields across both sides
Make a side-by-side comparison instead of matching on amount alone. Small differences can be legitimate network fees; large differences need an explicit explanation.
- Asset and network, including wrapped or chain-specific symbols.
- Quantity sent, quantity received, and any separately shown fee.
- Timestamp, timezone, and the date range used for each platform export.
- Transaction hash, withdrawal ID, deposit ID, or another source identifier.
- The source account and destination account, without sharing credentials.
A safe reconciliation order
Resolve the identity of the movement before classifying its economic meaning. This avoids turning a missing link into an unsupported conclusion.
- 01Keep the original exchange exports and wallet transaction history unchanged.
- 02Normalize timestamps to one review timezone while retaining each source timezone.
- 03Search for an exact or near-exact asset and quantity match within a reasonable time window.
- 04Verify the transaction hash or platform identifier when one exists.
- 05Record the link and its evidence, or preserve the row as unresolved with a precise question.
What to do when the link is still missing
Keep the unresolved row visible. Ask for the smallest missing evidence, such as a dated statement or a transaction hash, rather than asking for account access. If the evidence cannot be recovered, the final handoff should say so clearly so an accountant can make the next decision.
